Terms and conditions of service

These terms and conditions are set out with the objective of assisting in establishing a relationship of mutual co-operation between the coaching client (or clients, as the case may be), and the coach, for lessons to be an enjoyable experience for the player, and of the greatest benefit, and for the interests of the coach.

1. General

Tennis Lessons 121 reserves the right to vary these terms and conditions from time to time, and to do so without notice. The applicable terms and conditions are those as shown on this website at the date of the most recent payment by the client, or of the confirmation of the session booking with the coach (or of the confirmation of the first session of a group when the client books a group of sessions, as the case may be), whichever is the latter. This is considered the acceptance of your booking and you accepting that these current terms and conditions apply to your lessons. Phone messaging between the client player, or client parent as the case may be, and the coach is sufficient for these purposes.

2. Cancellation and rescheduling in the event of poor weather

Poor weather is to a degree an element of tennis in the UK and it may effect some lessons. In the event of poor weather, the player and coach will communicate and in the event that it is agreed before arriving at the venue that the weather is poor to the extent that tennis activity is not feasible, no fee is incurred by the player. The player and coach will attempt to reschedule for a time that is mutually acceptable. In determining whether tennis activity is feasible the attitude of the coach will be of significant importance.

For lessons of an hour or over, where less than half of a lesson is complete and, on account of poor weather, the remainder of the lesson is cancelled, the lesson may be taken to be completed at 50% with a credit or refund issued for the remaining 50%.

For lessons of an hour or over, where over half of a lesson is complete and, on account of poor weather, the remainder of the lesson is cancelled, the lesson may be taken to be completed.

For short-form lessons of less than an hour, where some of the lesson is complete and, on account of poor weather, the remainder of the lesson is cancelled, the lesson may be taken to be completed.

3. Cancellation and rescheduling, when with sufficient notice

The player is requested when exercising cancellation or a rearranging to provide as much notice as possible.

Players are welcome to rearrange lessons, for instance when there is a change to their circumstances. The coach understands that unforeseen circumstances arise – travel issues, accidents, illness, work appointments to name a few, and they will try to accommodate them.

Infrequently, however, situations have arisen where less than sufficient courtesy is shown to the coach in exercising this – cancelling their lessons without notifying them, for instance, or deciding to attend a social event at short notice. Kindly note that your coach will do their very best to help you during your lessons, including in situations where you might really need it, and that other players may want to take a slot that becomes available.

4. Late cancellation

Where cancellation is with less than 48 hours’ notice, this may be considered a late cancellation where the player may incur, at the discretion of the coach, a late cancellation fee of 50% of the lesson fee.

Where cancellation is with less than 24 hours’ notice, this may considered a late cancellation where the player may incur, at the discretion of the coach, a late cancellation fee of 100% of the lesson fee.

Where before a lesson a player is (1) not at the playing venue and (2) is of the view that the weather at their current location is poor to the extent that tennis activity is not feasible, and (3) player and coach are not in agreement on the feasibility of tennis activity at the playing venue, this may be considered a late cancellation where the player may incur, at the discretion of the coach, a late cancellation fee.

Where, after receiving guidance on lesson preparation, a player arrives at a lesson unsuitably prepared for tennis activity, they may be considered to have cancelled the lesson late where the player may incur, at the discretion of the coach, a late cancellation fee.

5. Illness

In the event that you are unwell, please consider the coach and potentially other players and clients within the playing facility before you arrive for your lesson.

Where an illness is infectious or contagious (such as COVID, flu, chicken pox etc), Tennis Lessons 121 does not provide a coaching service.

Where you have been unwell, you are requested to attend your booking when you have been clear of symptoms for several days. If this is not the case, you are requested to cancel your booking and to reschedule for the next available slot when you are better.

If you arrive at the playing venue with an infectious or contagious illness you will be considered to have cancelled your lesson. This may be considered a late cancellation where the player may incur, at the discretion of the coach, a late cancellation fee.

6. Cancellation and rescheduling by the coach

The coach may on occasion cancel a lesson on account of unforeseen circumstances. The coach reserves the right to cancel a booking in this situation. The coach will offer to reschedule as close as possible to the booking as circumstances allow. For those travelling a distance to attend an appointment, you are requested to confirm your booking before travelling. The coach does not accept responsibility for costs incurred in travelling to and from an appointment.

7. Preparation and equipment

Players are expected to arrive suitably dressed for physical activity, with a drink and on time.

Players are encouraged to use their own racket. A racket can be provided by the coach to a player to use for the lesson if necessary. All coaching equipment is provided by the coach for the lesson.

Players are encouraged to undertake stretching and light physical activity before their lessons for the best possible preparation.

Where before the lesson the player is aware of any limitations to their ability to undertake the lesson, including any allergies and medical requirements, please inform the coach of this on booking or as soon as is reasonably practicable.

8. Late arrival

Late arrivals are a part of life and are just fine, but where the player is running late please inform the coach of this as soon as possible.

Where a player arrives late the lesson is taken to begin from the agreed start time and not from the time the player arrives.

8. During the lesson

Tennis lessons involve an active partnership between the player and the coach. For the greatest benefit from the lessons, the player is expected to provide as much information as possible on their particular objectives and expectations from their lessons and to apply their best efforts and exert some patience in executing the suggested strategies of the coach.

Where before a lesson a player is aware of a limitation to their ability to partake in the lesson, such as an injury, and during the lesson the player decides not to complete the remainder of the lesson this may be considered a late cancellation where the player may incur, at the discretion of the coach, a late cancellation fee.

9. Personal property

Please ensure that valuables such as mobile phones, tablets, wallets, purses keys etc are kept on you at all times. Though situations of damage to property are rare, Tennis Lessons 121 accepts no liability for property that is lost, damaged or stolen – including for rackets that are scratched or otherwise damaged in the course of lessons.

10. Payment

Payment is due upon completion of the booking, and shall be made in full. Tennis Lessons 121 operates no credit facility.

11. Termination

Players are requested to provide as much notice as possible of termination. A player who terminates their coaching will have no claim to any refund of their fees for any service provided. A player whose coaching is terminated will forfeit all the privileges and benefits of the coaching.
